Issuance of Certifications

Certificates

Due to faculty exams, certificate reception and issuing will be closed on the following days.

How to get a graduation/completion certificate, or a transcript issued:

Applications for certificates can only be made in person or through the post (applications are not accepted via telephone, fax, or e-mail).

In the interest of protection of personal information, it has become necessary to confirm that the request to have a certificate issued is a voluntary act on the part of the person in question. In order to do so, applicants will be required to show personal identification or an authorization letter as listed below. Thank you in advance for your cooperation.

Application forms must include a telephone number where the person can be reached.

In-Person Applications and Pickup

Bring the following items to the Kobe University Graduate School of Law Academic Affairs Clerk or the Faculty of Law Academic Affairs Clerk (both located on the second floor of the Faculty of Law building).
It can take two days to issue a Japanese certificate (not including Saturdays, Sundays, and holidays), and from two to ten days to issue an English certificate, so keep this in mind when timing your application.
People who want to have their certificate mailed to them, please bring an envelope (long size 3(235×120mm)).

Applicants are required to pay postage, so refer to the fee chart (*note 3), affix stamps, and fill out your name and address on the envelope.

Applications and Delivery By Post

Place the following items in an envelope and mail it. It can take two days to issue a Japanese certificate (not including Saturdays, Sundays, and holidays), and from two to ten days to issue an English certificate, so keep this in mind when timing your application.

  1. Personal identification (*note 1) copy
    The personal information listed on the identification will be used to confirm the individual, and after preparing the certificate, the copy will be returned along with the certificate.

    If the application form cannot be downloaded, write the following information on a piece of paper and send it in.
    (1) Name (your name at the time of enrollment)
    (2) Furigana (if written in kanji - English requests, please use the alphabet)
    (3) Date of birth
    (4) Faculty or Department Name, or Graduate School/Course Name
    (5) Date of Enrollment
    (6) Date of Graduation (Completion) or Withdrawal
    (7) Student Number (if you can remember it)
    (8) Type of certificate, number of certificates requested
    (9) Reason for the request, where the certificates will be submitted
    (10) Contact telephone number (a number that can be reached during the day)
  4. Reply Envelope
    Prepare an envelope (long size 3(235×120mm)) affix it with proper postage using the fee chart (*note 3) as reference, write the address where the certificate is to be sent, and include the envelope with the application form. It cannot be sent to an address in care of another person. As a general rule, address the envelope to yourself. The address must be one within Japan. For faster service, pay for special delivery treatment.

    If applying by proxy, please include the following in addition to the above items.

  1. Personal Identification
    This is defined, as a general rule, as one of the following: drivers license, passport, health insurance card, alien registration card, Kobe University student ID card, Basic Resident Registration Card (with photo) (company ID cards and student ID cards from other universities are not acceptable).
    The name on the certificate will be the name at the time of enrollment. If your name has changed since enrollment, please provide a copy of your family register or other proof of name change.
  2. Authorization Letter
    There is no prescribed form in particular, but use the following as a reference and prepare a letter where the wishes of the person in question can be confirmed.
